AI Receptionist vs Answering Service for Contractors (2026 Prices)

If you run a plumbing, HVAC, roofing or electrical shop, there are two main ways to stop missing calls: a live answering service, where real people pick up for you, or an AI receptionist, where software answers, takes the details and often books the job. Below is how they compare on price, coverage and fit. All prices come from each vendor's own pricing page, checked September 2026.

The short answer

  • Pick an AI receptionist if most of your calls are routine (booking, quotes, "are you open", emergency intake), you get spikes (storms, heat waves, freezes), and you want to spend under $200 a month.
  • Pick a live answering service if your callers are older or upset a lot of the time, you handle complex commercial work, or you just don't want a robot on your phone. Expect to pay several hundred dollars a month.
  • Many shops mix both: AI after hours and for overflow, and people during the day.

Price: per minute vs per call

Service Type Starting price How it's billed
Upfirst AI $24.95/mo Calls per plan, extra calls $1-$1.50
Dialzara AI $29/mo (60 min) Minutes, overage $0.35+/min
Rosie AI $49/mo (250 min) Minutes
OnCrew AI $49/mo (100 calls) Calls
Goodcall AI $79/mo (100 customers) Unique callers
PickupBell AI $199/mo Unlimited calls
Answering Service Care Live From $40/mo Minutes
Abby Connect Live $165/mo (50 min) Minutes
Ruby Live $250/mo Receptionist minutes
Smith.ai Live $300/mo (30 calls) Calls, overage $8.50-$11.50/call

As a rough guide, 100 calls a month costs about $50-$150 with most AI tools. With a live service it can cost $400 to over $1,000, depending on how long the calls run.

Coverage and capacity

A live service has a limited number of people. On a storm day or during the first heat wave, you share them with every other client. AI tools answer every call at once, 24/7, so a spike doesn't mean a busy signal. The catch is the bill: per-minute AI plans can jump in a busy month. Check overage rates, or pick a flat or unlimited plan (PickupBell, Frankie) if your volume swings a lot.

Booking and your software

Most live services take a message or book into a shared calendar. Many AI tools built for trades book directly into Jobber, Housecall Pro or ServiceTitan, and some of those companies now sell their own AI receptionist. See our ServiceTitan vs Jobber vs Housecall Pro comparison.

Caller experience

The newer AI voices are good, and most callers just want to be booked fast. But a panicked homeowner with water on the floor, or an elderly customer, may do better with a person. A lot of AI tools can transfer to your cell for emergencies. Test this on a free trial before you commit.

Questions to ask either type

  1. What happens when a call is an emergency? Is there a live transfer, and to whom?
  2. Is billing per minute, per call or flat, and what is the overage rate?
  3. Does it book into my software, or just send me a message?
  4. Is there a contract or setup fee?
  5. Can I listen to recordings or read transcripts?
